Cut Internet Costs Across Branches with BitMonitor

Cut Internet Costs Across Branches with BitMonitor

When an organisation operates many branches, internet bills can become difficult to manage. A connection ordered for a temporary office may remain active after relocation. A backup line may appear unused while still protecting essential services. Effective internet cost control means understanding what each connection costs, what it supports and whether it should remain—not simply choosing the cheapest package.

1. Build one reliable inventory of every connection

Start by bringing finance, procurement and ICT records together. Banks, microfinance institutions, retailers and other multi-branch organisations often hold different pieces of the same information. Finance has invoices, ICT knows the equipment, and branch managers know what actually works.

Create a register with one record for each billed service. Include:

  • Branch name, location and an internal branch code.
  • ISP, account number, circuit identifier and service type.
  • Package speed, recurring monthly charge and separately billed items.
  • Purpose: primary connectivity, backup, dedicated application or temporary service.
  • Contract dates, notice requirements and the person responsible for the line.
  • Current status: active, under review, cancellation requested or closed.

For Ethiopian operations, record amounts in birr and distinguish recurring charges from installation fees, taxes and adjustments. Where branches span East African countries, keep the original billing currency alongside any converted reporting figure.

BitMonitor provides an inventory of ISP lines and their monthly costs. This gives teams a shared starting point for reviewing spending across locations rather than relying on scattered spreadsheets.

2. Gather evidence before labelling a line unnecessary

A paid connection is not automatically useful, but a quiet connection is not automatically wasteful. Backup services may carry little traffic during normal operations yet become essential when the primary link fails.

Use monitoring to understand availability over a representative period. Include ordinary working days, busy periods and known interruptions. BitMonitor uses branch heartbeat agents to provide uptime evidence that teams can review alongside branch feedback and other network records.

Separate availability from actual usage

A missing heartbeat can indicate a connectivity problem, but it can also reflect a power outage, a disconnected device or an agent issue. Likewise, a successful heartbeat does not prove that a line has enough capacity for every business application.

Before changing a service, check:

  • Whether the branch is open and the monitoring equipment has power.
  • Which connection carries essential applications and which provides backup.
  • Router traffic records, where available, and staff reports of slowdowns.
  • Whether failover works when the primary connection becomes unavailable.

In locations with unstable power or connectivity, involve the local branch team. Remote observations alone may miss the reason a connection appears inactive.

3. Reconcile invoices against services and contracts

Review each invoice line against the inventory. Confirm that the service exists, belongs to the stated branch and matches the agreed package. Check for duplicate charges, unexpected package changes, unexplained adjustments and billing that continues after a confirmed closure.

Keep supporting documents together: contracts, invoices, payment records, service-change requests and cancellation acknowledgements. When raising a billing query, identify the account, billing period, disputed amount and supporting evidence clearly.

BitMonitor supports invoice reconciliation and AI-assisted analysis to help teams identify items requiring attention. Treat automated findings as review prompts, not final decisions. Finance and ICT should verify them against contracts and provider records before disputing charges or changing services.

Where a provider offers service credits, use the applicable contract terms and evidence to assess eligibility. Monitoring records can support a discussion, but do not by themselves establish entitlement to a refund.

4. Right-size packages and retire lines safely

Once the records are reliable, separate proposed changes into package adjustments, contract discussions and possible cancellations. A branch with light administrative work may have different requirements from one handling frequent transactions, cloud applications or large file transfers.

Consider whether the primary and backup services share infrastructure that could fail together. Two subscriptions do not necessarily provide independent resilience. Confirm the arrangement with the provider rather than assuming different account numbers mean different routes.

Use an approval process before removing any connection:

  1. Document why the line is a cancellation candidate.
  2. Confirm its role with the branch manager and ICT team.
  3. Check dependencies, contract conditions and notice periods.
  4. Test the remaining connection and any required failover.
  5. Obtain authorised approval and submit the cancellation request.
  6. Keep the provider acknowledgement and verify subsequent invoices.

BitMonitor supports safe, approval-based decommissioning. This helps organisations avoid turning a cost-saving exercise into a service interruption.

5. Make internet cost control a monthly routine

Assign clear ownership: ICT maintains technical records, finance checks billing, and branch managers confirm local changes. Review new lines, relocations, closures, disputed charges and pending cancellations each month. Track verified savings only after the relevant billing changes appear.
